The work, in practice

A timely appointment message can help a customer remember where to go and how to ask for a change. It must refer to a real, current appointment. Procora has booking confirmation and human-managed appointment outcomes; automatic reminder scheduling and no-show rebooking are not established in this release. This page helps define a suitable process before discussing that additional requirement.

Use the appointment as the source

Begin with the confirmed record: customer, service, location, date, duration and business timezone. A preferred date from an earlier enquiry is not enough. The fictional Aarhus/Utrecht workshop visit concerns a brake check, not a promise to finish every repair that day. If a message explains preparation, that instruction must also come from approved service information. Keep the message focused on what the customer needs for this visit.

A professional consultation may need a meeting location or verified link and a short description of what to prepare. It should not ask the customer to email confidential files to an unreviewed address. The business decides whether any advance material is necessary and how it is handled. An administrative message is an opportunity to reduce confusion, not to collect more personal information because the appointment exists.

Agree timing and a clear limit

A business might choose one message the day before a confirmed visit, but that is an illustrative decision, not a built-in Procora schedule or a proven optimum. Review the appointment type, customer preferences, opening hours and how replies are handled. Check whether an existing booking system already sends reminders before adding another process. Two independent schedules can confuse the customer and hide who is responsible.

Set a maximum number of administrative contacts and stop conditions. A cancelled or completed appointment should not remain in a future reminder list; a pending change requires review before referring to the old time. Use the business's timezone when calculating the intended moment. A page showing suggested wording does not schedule, queue or deliver a reminder, and downloading a template gives no permission to contact anyone.

Give a change or cancellation a human next step

A customer replying that they cannot attend needs the team to review the actual appointment. Authenticated staff can cancel a record; a requested new time still needs availability and confirmation. Do not use a standard acknowledgement saying the booking has moved if the record has not changed. Show which person handles the request and which detail, if any, is needed to locate the correct appointment.

After a confirmed change, check any separate calendar display and reminder system for outdated details. A response saying 'please call me' records a callback request, not a connected telephone service. If the message was sent through a provider, confirm the reply route actually reaches the team. An unanswered mailbox or unsupported reply channel can leave a customer believing a change was received when nobody has acted.

Record attendance through the person who knows

After the appointment, an authorised person can record completed or no-show outcomes with an actor in the history. The diary alone does not establish what happened. A visit may have been cancelled, moved outside the system or attended without an update yet. Keep those uncertainties visible. Do not automatically label every past appointment as completed or interpret an empty outcome as a customer who failed to attend.

Rebooking after a missed visit is an owner decision based on the situation and the customer's preference. Ask neutrally whether another visit is wanted where contact is appropriate. Do not invent a fee, threaten a consequence or put the person into an endless sequence. Record the resulting appointment separately from the missed one so the history explains both events instead of overwriting a result to make the numbers look better.

Separate administrative quality from promotional results

If you review attendance, define the denominator: appointments with a known attendance outcome over the stated period, with cancellations shown separately. Three confirmed appointments in our fictional enquiry example do not provide an attendance rate. To evaluate a reminder process, you also need its actual attempted/delivered messages and reliable outcomes; a template or confirmation email alone cannot show that reminders reduced no-shows.

Keep appointment administration separate from an offer to buy another service. Promotional rebooking belongs in the marketing section with its own purpose, permission and readiness checks. During setup, explain the current reminder requirements and existing systems, so a scoped discussion can establish what is possible. Until such a process is agreed and verified, use the resources as preparation, not evidence that automated reminders are running.
