The work, in practice

A useful enquiry gives the team a reason to respond and enough information to choose the next step. Qualification should clarify the visitor's need, not force everyone through the same sales form. Procora records the conversation and can capture a way to reply where the existing plan allows it; the person responsible still decides exceptional work and commercial terms.

01 · Enquiries & Appointments

Start with the decision the information will support

Ask what your team must know to handle a particular enquiry. A workshop may need the bike type, the problem, the preferred location and timing. An adviser may need the topic, the business context and whether there is an existing engagement. Asking for every possible field makes completion harder and can collect information that nobody uses. Choose the smallest useful set for that service.

Keep required and optional details distinct. A phone number is not automatically necessary if an email is a suitable reply route. A stated urgency can help the team prioritise, but the customer's deadline does not create capacity or guarantee service. Record a preferred date as a preference until actual availability and booking confirmation establish an appointment. Missing information should remain visibly unknown.

Use the answer to choose the next question

In the Utrecht example, a visitor asking for a city-bike brake check does not need questions about a corporate maintenance contract. The next useful question might be the bike type or preferred period. If the customer instead asks about several company bikes, the next step is an owner review of scope and terms. That branch should preserve the customer's request, not generate a special price from a routine repair answer.

For an introductory professional consultation, ask for the subject at a level that helps choose an appropriate person. Avoid gathering confidential client files merely to arrange a first discussion. If a requirement is outside approved knowledge or needs specialist judgement, ask for a concise description and route it for review. Conditional questions explain why a detail matters, so the visitor is not left guessing what the form will do with it.

Separate customer facts from unresolved points

A useful summary might read: city-bike brake check; Utrecht workshop; prefers Monday morning; email supplied; appointment not yet confirmed. Each part comes from a stated requirement or a recorded result. The summary should also show a missing detail, such as the component type, rather than fill it with a guess. A person reading it should know what can be decided now and what still needs a question.

Keep the original conversation accessible with the summary, especially when the customer changes a requirement. A summary saves reading time but does not replace the evidence for an exceptional request. If a customer supplied conflicting details, name the conflict and ask for confirmation. Do not mark the most recent interpretation as a final specification or let a helpful paraphrase become a promise the business never made.

Capture a usable reply route

When a person needs to respond, ask for a working email address or phone number appropriate to the conversation. The capture flow validates contact formats and keeps the enquiry in the established conversation/customer path. If validation fails, the visitor should correct the detail; a success message alone is not evidence of a saved reachable contact. Explain what the team will use the information to answer.

Duplicate enquiries need evidence-based review. The same visitor returning in a known conversation can have continuity, while another person's similar name cannot justify showing private history. Let authorised people review ambiguous customer identity. Qualification information does not itself establish marketing permission, a subscription or consent to an unrelated campaign. Keep those decisions separate from responding to the enquiry the visitor actually made.

Measure useful information and unresolved work

Count captured enquiries over a defined period, then inspect whether the agreed minimum details are present. Distinguish a complete summary from a customer still waiting to provide information. In the fixed example, two of eight enquiries await the customer's reply. They remain open work, not lost sales or confirmed appointments. An owner hand-off may be the correct outcome of a qualified exceptional request.

Review questions that visitors repeatedly skip or misunderstand. The remedy may be a clearer explanation or one less field, not a higher pressure follow-up. Use enquiry handling measures alongside actual appointment outcomes, and exclude test traffic. Qualification is a way to make the next decision easier; it should not manufacture a score, urgency, budget or sales result that the visitor's words and records do not support.
