Six original responses for routine questions, missing details, owner review, slot conflicts, changes and respectful closure.

The work, in practice

Adapt these educational examples to the customer's actual question and the information your business approves. Copying or downloading text here does not send it, save an operational approval or activate a channel. Replace every placeholder and remove conditional instructions before using a response in your own authorised process. The wording should describe what really happened, not what you hoped the system would do.

01 · Enquiries & Appointments

Choose the response for the actual state

A routine answer needs a verified fact; a clarification needs a useful missing detail; an unknown answer needs the owner's judgement. Do not use a booking confirmation simply because a visitor asked for a time. In the fictional Utrecht workshop, a brake-check answer may lead to a preferred period, while the unfamiliar cargo-bike question leads to owner review. In Aarhus the same decision uses Danish wording and the workshop's local time, not a converted commercial offer.

02 · Enquiries & Appointments

Replace placeholders without inventing facts

Insert the approved service, actual location and business timezone where relevant. Use the customer's supplied detail instead of guessing urgency, budget or readiness to buy. Keep the source's price conditions if a verified price is necessary; otherwise let the owner review it. For a professional consultation, ask for a concise subject rather than confidential case material. The templates deliberately contain instructions where a real action or agreement must be checked first.

03 · Enquiries & Appointments

Check the words that imply a completed action

'Passed to the team', 'booked' and 'cancelled' refer to different completed actions. Check the saved capture, successful appointment or updated cancellation before using them. An offer to pass a question on is not a completed hand-off. A requested new time is not a reschedule. Include a response deadline only when the responsible team has agreed it. A polite sentence can still create a false expectation if its state or authority is wrong.

Review the adapted text and reply route

Before using a template, read it as the customer would: can they identify the request, understand what is known and see one clear next step? Remove unused alternatives and check names, contact details and dates. Ensure the reply route reaches somebody responsible. Keep administrative enquiry handling separate from promotions. Use the copy controls or text pack as preparation; this guide does not create a sending permission, calendar change or customer record.

We offer [approved service] at [approved location or service area]. [Give the verified answer to the customer's actual question, including any relevant limit.]

To help with the next step, could you tell us [one necessary detail]? We can then [offer the next action that is actually available]. A preferred time is a request until a booking is confirmed.

Ask for one missing requirement

Use when a precise question will determine the appropriate service or owner.

Subject: A detail needed for your enquiry

Hello [name],

Thank you for explaining [requirement already given]. We have kept that detail with your enquiry. To decide the appropriate next step, could you confirm [specific missing detail]?

Please share only what is needed for this question. You do not need to send passwords, sensitive documents or somebody else's contact information. Once we have your reply, [responsible person/team] can review [the decision it enables].

A question needing the owner

Use when approved knowledge does not establish the answer. Confirm a saved hand-off before saying it has been passed on.

Hello [name],

I do not have an approved answer about [specific unknown point], so I will not guess. [If the hand-off has been saved: Your question and the details you supplied are recorded for the team.]

Please confirm [minimum contact detail or necessary clarification] so the responsible person can respond. [Include a response time only if that team has agreed it.] We have not agreed a special price, service or appointment through this message.

The requested time cannot be confirmed

Use after a real availability check; do not invent alternative slots.

Subject: An alternative to your requested appointment

Hello [name],

The time you requested, [date/time and business timezone], is no longer available. Your request is not a confirmed appointment.

[If verified: We can currently offer [checked alternative slots]. Please choose one; we will check again when confirming.] [If availability cannot be checked: Please share another preferred period and a way to reply, so the team can review it.]

We will confirm the location, duration and agreed time when the booking succeeds.

A change request awaiting review

Use for an appointment change without falsely claiming the old booking has moved.

Subject: Your request to change [appointment reference]

Hello [name],

We have received your request to [change/cancel] the appointment on [current date/time and timezone]. [State the change has been recorded only after checking the actual record.]

For a new time, please tell us [preferred period]. The team will review availability and confirm the replacement separately. Until the record has been updated and the change confirmed, do not assume the appointment has moved. We will also review any separate reminder process to avoid an outdated message.

Close without a booking

Use when the customer declines or the approved service boundary does not meet the need.

Subject: The next step for your enquiry

Hello [name],

Thank you for clarifying [need]. Our current service covers [approved scope], and we cannot confirm [request outside that scope]. We have therefore closed this enquiry without a booking.

[If appropriate: You are welcome to contact us again if your requirements change.] No appointment or paid order has been created. We will not add a promotional follow-up simply because you asked this question.

Why do some templates include conditional instructions?

They prevent the text from claiming an unverified hand-off, slot or change. Choose the wording matching the actual record, remove the instruction and review the final response before using it.
