The work, in practice

A customer arranging a visit needs a specific time, place and duration. Procora's existing booking path can offer appointments where the plan and settings allow it. The calendar requirements must be checked for the actual business; a selected slot remains a request until the booking succeeds. Customer self-service rescheduling is not established in this release.

Define what one appointment means

Choose the service duration, opening hours, minimum notice, booking window and business timezone. For the fictional workshop, a brake-check visit is different from promising a complete repair. For the adviser, an introductory consultation has its own purpose and preparation. Make the location and attendance instructions clear before confirmation, and avoid booking a service that is not within the approved business scope.

Check whether the business needs one diary or explicit staff and location allocation. The current single-assistant booking settings should not be presented as a complete multi-staff scheduling product. Name the calendar that supplies external commitments and verify its access. A calendar feed that displays Procora bookings elsewhere does not by itself read conflicts from that external diary or reserve equipment for the visit.

Check available times within those rules

The public booking path combines the configured hours and duration with stored appointments and external busy intervals where the Google connection is usable. It also applies notice and the booking window. This is more meaningful than asking a visitor to type any date they like. Check the particular connection and keep the owner aware of changes or failures; there is no universal guarantee that every diary conflict is visible.

The example uses Europe/Amsterdam for Utrecht and Europe/Copenhagen for Aarhus. Show the timezone alongside an unambiguous date and a 24-hour time. The visitor's preferred language should not change the location or shift the appointment. If the customer is in another timezone, explain which business time is being confirmed rather than silently converting the text and hoping both parties interpret it the same way.

Handle a slot conflict before giving confirmation

A slot can become unavailable after it was displayed. The public booking request checks offered availability again and can reject a time that is no longer offered. In the local workshop example, the preferred 10:00 slot is unavailable, so the visitor sees a checked 11:00 alternative. The choice must be confirmed through a successful booking result; a green example card is not an appointment in the live diary.

If a reliable time cannot be confirmed, collect a preferred period and reply route for the team instead of inventing a slot. Make clear that no appointment exists yet. A connected calendar failure and a disabled booking setting need an honest explanation. The owner should review the actual diary and any connection issue before promising a replacement. The demonstration illustrates that customer message, not every possible provider failure behavior.

Distinguish a saved appointment from its email

Confirm the date, time, timezone, location and duration only after the appointment has been stored successfully. The booking route can send a confirmation and calendar attachment, but email delivery is separate from persistence. A failed email does not necessarily mean the appointment failed, and receiving a message does not substitute for checking the actual record. Give the team a way to investigate either issue.

Do not treat confirmation as attendance, a sale or acceptance of exceptional terms. The customer may be arranging an inspection before the work can be priced. Keep the appointment purpose with the record and explain what is not yet decided. The fixed example contains three confirmed visits, including a professional consultation. It makes no claim that those people attended or bought a service.

Let a person manage cancellation and replacement

A cancellation message should reach the team responsible for the actual appointment record. Authenticated staff can cancel a recorded appointment. For a requested move, the owner reviews the original, checks a new slot and confirms the replacement; this page does not advertise customer self-service rescheduling. Avoid telling the customer the visit has moved while the old record is still confirmed or the new time is only a preference.

Review any separately configured reminder process after a change so an outdated message is not sent. Record attendance through the responsible person after the visit, with completed and no-show states kept distinct from cancelled. Discuss more complex diary requirements during setup. The printable checklist helps identify these decisions, but ticking it does not change booking settings, calendars or customer appointments.

No. Availability is checked again and confirmation follows the successful saved booking. A conflicting or unavailable time needs an alternative or owner review.
