The work, in practice

Begin with a specific problem and a manageable quotation list. A good setup explains what the owner will review each day and what the service will not decide. Procora's public offer is a separately agreed draft pilot, not an automatic customer-contact subscription. This page helps prepare that conversation without collecting customer files, financial credentials or a live recipient list.

Choose one useful job before a bundle

Describe the difficulty in plain terms: issued offers are forgotten, revisions leave stale drafts or nobody owns customer questions. Select one quotation source and a small set of current open records that a named owner can check. Agree what makes a quotation eligible and what holds it back. A Sales Coordinator role can describe related duties, but it is not a substitute for a specific scope. Confirm that the pilot prepares drafts and owner decisions; it does not promise active sending, negotiation or guaranteed sales. Keep any later delivery, invoicing or retention work as a separate responsibility with its own prerequisites and commercial agreement.

Prepare the source and approved facts

Identify the source reference, current version, actual recipient, description, currency, amount basis, issued date, expiry and owner. Agree how a manual or CSV snapshot will be checked against the original each time the relevant work changes. Prepare approved information about scope, access and the next decision; do not give a template permission to invent discounts, delivery slots or validity extensions. The Danish cleaning example preserves its own source amounts and Europe/Copenhagen. The Utrecht maintenance example uses a separate euro quotation and Europe/Amsterdam. Existing e-conomic contact export or a CRM connection does not remove the need to verify the quotation itself.

Name the people behind the process

Assign responsibility for importing, checking the original, reviewing drafts, deciding revisions and recording outcomes. One person can hold several duties, but each duty needs an explicit substitute. State where customer replies currently arrive and how a salesperson who receives a phone call updates the working list. Otherwise the draft process may continue while a colleague is already negotiating. Agree how stop requests and changed recipients are recorded. For any future separately approved sending, a verified receiving route and secure reply matching must be ready before launch. A notification to the owner is not proof that someone read or resolved the customer's question.

Test the decisions that change the next action

Use fictional records to test a routine open quotation, duplicate reference, changed scope, wrong recipient, missing source check, expired offer and superseded document. Prepare a draft, edit it, reject it and pause the work. In the local demonstration, change the version after simulated approval and verify that the old approval becomes invalid. Add a scope question, apparent acceptance, decline, out-of-office message and stop request, then explain the expected owner decision for each. Check language, timezone and monetary basis without changing subscriptions or converting source records. These tests should establish a process the owner understands, not merely that a page displays a success label.

Acceptance starts delivery responsibility

After the owner verifies acceptance of the current offer, stop quotation follow-up and hand the agreed scope to the person responsible for delivery. Include the accepted version, relevant customer requirements, unresolved operational questions and the next confirmed decision. Acceptance does not automatically reserve a calendar slot, create an invoice or collect money. If work changes later, follow the business's own revision process rather than altering the accepted history silently. Invoice follow-up is a separately planned Procora service, while an appropriate later review or repeat-business discussion requires its own context and permissions. Agree support, limits and the next review

The quotation pilot is separately scoped; its new duties are not automatically included in the existing website-chat plan. Agree record volume, owner review capacity, supported source format, test acceptance, reporting period and how problems are raised. Do not infer a dedicated salesperson, round-the-clock response commitment or provider cost from a role label. Choose a review date and decide what evidence would justify expanding the pilot, such as fewer stale drafts and clearer unresolved tasks. The public enquiry should describe your company, country, source system and main difficulty. It stores a scoped request for follow-up with the team; it does not activate a subscription, import quotations or authorise messages.

Questions worth answering

Must we replace our current quotation system?

No. Start with supported owner-entered or CSV snapshots and agreed checks against your current source. A direct connector, if needed, is a separate verified requirement.

What does the Sales Coordinator label include?

It describes a possible bundle of agreed duties. The actual pilot scope, limits, ownership and commercial terms must be explicit; the label does not add sending, negotiation or invoice handling.

Does the enquiry form begin the pilot?

No. It records your requirements and a reference for the team's review. Setup and any future activation require their own agreed scope, and marketing permission remains separate.
