The work, in practice

A useful follow-up begins with the quotation the customer actually received. The draft pilot accepts owner-entered records and mapped CSV snapshots for review. It does not infer the latest offer from a contact record or silently connect to your accounting system. The aim is a small, dependable working list whose source and limitations are clear.

One source reference, one current record

Choose the source quotation reference before importing anything. A customer may have several offers for different premises, so their email address is not a quotation identifier. Keep the customer, source reference, issued date, expiry date, currency, agreed scope and responsible owner together. Record where the original can be checked and when the snapshot was captured. A person must confirm that it is an issued offer rather than an internal calculation. Procora's supported quotation intake stores a summary and amount; it does not replace the original document, preserve every line item or calculate its tax treatment.

Capture enough information to check the next action

The recipient should be the person authorised to discuss this particular offer, not simply the first address found in your CRM. Use a plain email address and confirm it against the customer record. Give the work a concise, factual description without adding new promises. Select language and timezone independently of currency; an English-speaking customer in Denmark can still receive a DKK quotation. State whether the stored amount is the source's excluding-tax or including-tax figure. If that basis is unknown, ask the owner before using the value in a draft or adding it to a pipeline total. Missing dates or ownership are reasons to hold the record.

A cleaning offer and a separate maintenance offer

Fictional Canal Maintenance in Utrecht enters CM-104, version 1, for a maintenance visit: €1,200.00 excluding VAT, issued 1 October 2026 and valid to 16 October 2026. Tax details remain in its existing quotation document; Europe/Amsterdam controls the example's clock. Separately, fictional Odense Kontorrengøring records OK-104 manually from its issued Danish offer. That source says 10.000,00 kr. excluding moms, 2.500,00 kr. moms and 12.500,00 kr. including moms. These are different customers and records. A language switch does not convert one into the other, change the customer's tax basis or establish an e-conomic quotation connection.

A revision changes the work already prepared

Suppose the customer asks to add a second floor after the first draft has been prepared. The owner updates the source quotation and records the new current version. The old follow-up must be cancelled because it describes yesterday's scope. Its approval cannot be transferred to different terms, dates, content or a new recipient. If a new document replaces the old reference, record the old one as superseded and link the replacement in the owner's notes. Re-importing the same reference should not create another active sequence. CSV previews flag repeated references within the file; existing records also need reconciliation against the working list before any update is agreed.

Preview rows before they become work

Map CSV headings explicitly rather than assuming an amount column or date format means the same thing in every export. Review invalid recipients, missing owners, inconsistent currencies, impossible dates and repeated references as separate issues. The current bounded import supports up to 100 data rows and a 256 KiB file; it is not a bulk migration tool. A preview is not enrolment or a permission check. Keep rejected rows available for correction instead of inventing values to make them pass. Agree whether the owner corrects the original source or the copy, because fixing only the copy can leave the next export wrong again.

Measure a dependable intake, not a bigger list

For each review period, count distinct source quotations received, usable current records, duplicate references, records held for correction and records already closed. These categories explain why the follow-up list is smaller than the export. Assign each held record an owner and a next check date; do not leave an unlabelled queue for someone else. Before drafting, the owner checks that the quote remains open and unchanged. The draft pilot gives this work structure while your original system remains authoritative. Discuss intake first if your team cannot currently identify which version the customer received or distinguish an issued offer from a rough estimate.

Questions worth answering

Does importing a quotation start customer contact?

No. An imported snapshot is a record to review. The public service is a draft pilot, and importing does not activate sending or prove that contact is appropriate.

Can I use quotations created in e-conomic or Odoo?

An owner can supply a supported manual or CSV snapshot and check it against the source. The existing contact connectors do not provide verified quotation synchronisation. Any direct quotation feed needs separate verification.

What happens to an approved draft after a revision?

It is no longer approval for the current offer. The changed version needs a fresh source check and review of the exact new recipient and content; superseded offers leave the routine follow-up list.
