The work, in practice

Use these original examples to prepare a conversation about a specific issued quotation. They are working drafts, not a sequence to send automatically to a list. Replace every placeholder with verified source information, check the current version and let the responsible person decide whether the message is appropriate. The controls copy or download text locally; they do not contact a customer.

Choose the customer's situation before choosing a template

Find the issued quotation, its current version, recipient and last contact. Check whether there is a reply, requested pause, change of scope, expiry or known owner conversation. A template cannot decide that the offer is still open or that contact is appropriate. Match the draft to one purpose: ask about review, clarify an existing point, acknowledge requested revision or close ordinary follow-up. If the source or contact context is uncertain, write an owner task instead. Keep the customer's country and channel context separate from the website language. These examples concern the quotation itself; adding unrelated promotions would change the purpose and need its own review.

First follow-up: make a short reply easy

The first-contact example asks whether the customer has reviewed the offer and has a question. Use the real reference and a short description the customer recognises. You may include the source amount only when its tax basis and currency are explicit; otherwise the reference can be enough. Do not suggest the customer is late, imply that a slot is reserved or invent an expiry. A Danish draft about OK-104 refers to the manually checked cleaning offer, while an English draft about CM-104 refers to Utrecht maintenance. They are separate source records. The owner chooses the timing; the template does not establish a two-day rule or a guaranteed response.

Clarification: answer the source, not an assumption

Use the clarification example only after the owner verifies a factual point already in the offer. Insert the exact scope or exclusion and its source location so the customer can compare it with the document. If the question instead asks for weekend work, a different quantity or a price change, it needs an owner decision and possibly a new quotation. The template must not convert a tentative possibility into a commitment. When a fact is missing, acknowledge the question and identify who will check it. Keep the routine follow-up paused while that answer is being prepared rather than sending another generic request for a decision.

Revision acknowledgement: name the change without pricing it

A revision acknowledgement confirms what the owner understood, such as fewer cleaning visits or another maintenance area. It should say the owner will assess the request, without promising acceptance, unchanged price or a revised delivery date. Record the customer request alongside the current source, cancel stale drafts and return the record to owner review. When the revised quotation is issued, quote its real reference and version rather than editing the old draft in place. The previous approval cannot cover different scope or terms. If the request is unclear, a short clarification question may be more useful than producing a new offer based on guessed quantities.

Closure: end a routine without pressure

The closure example offers to finish ordinary follow-up when the work is no longer relevant. It avoids scarcity, guilt and an invented last chance. Use it only when a close is appropriate; an explicit stop request should already have stopped the routine and does not need another sales message. A recorded decline can include the customer's stated reason without assuming price was the issue. If the source offer expired, explain its actual status and leave any new proposal to the owner. Do not attach a discount to rescue the conversation. A clear close helps the working list reflect reality and prevents an obsolete offer resurfacing as if it were new.

Copy, customise, review and keep the decision

After copying or downloading, replace placeholders and read the entire message as the customer would. Check reference, version, name, description, amount basis, validity and any timing statement. Remove unnecessary detail instead of filling every placeholder for its own sake. Keep the recipient and chosen wording with the owner's decision, including rejection or pause. The downloadable file is a text aid, not a provider configuration or upload list. Copying does not grant permission to send, and the public Procora service remains a draft pilot. If your team needs recurring templates, discuss who maintains approved facts and how changed quotations invalidate old wording before adding more steps.

Questions worth answering

Does the copy button send a message?

No. It copies text locally for your review. The download creates a text file; neither control creates a recipient list, enrols a quotation or contacts a provider.

May I insert a discount or a new deadline?

Only an authorised business decision and current source offer can establish new terms. These templates do not provide that authority or recommend invented scarcity.

Can I use one draft for every customer?

Review purpose, current offer, contact context and wording for each record. A common structure can help, but it does not replace the source check or owner decision.
