The work, in practice

A sequence should help the customer decide, not repeat the same request until they respond. Start with an issued, current quotation and explain why the next step is useful. Procora's draft pilot prepares work for review. Timings on this page are illustrative choices to discuss, not active customer outreach or a promise that one schedule fits every business.

Check entry before choosing dates

Only consider quotations that are issued, still open, within their validity period and assigned to a responsible person. Confirm the recipient and whether the business already follows up through another system or salesperson. A recently recorded reply, a requested pause, an opt-out, a revision or an unresolved source check changes the next action. An old quotation is not automatically a suitable reactivation contact. Record the intended purpose and the customer's context rather than enrolling every CRM contact. If you cannot establish the current status or contact basis, hold the quotation for owner review before drafting a sequence.

A question, a clarification and a respectful close

The first draft can ask whether the customer has had time to review the issued offer and whether anything needs explaining. A later draft should have a different reason to exist: clarify a known scope point or ask whether the proposed work is still relevant. A final draft can offer to close the follow-up if plans have changed. It should not imply a discount, a disappearing appointment or a deadline absent from the quotation. Useful wording references the actual work and invites a short reply. If there is no new information or legitimate reason for another contact, the owner can end the sequence rather than fill every planned slot.

An example schedule remains a choice

Fictional Canal Maintenance proposes review points two, five and ten business days after CM-104 was issued. The owner uses Europe/Amsterdam and a 09:00–17:00 weekday window. That is an example, not a recommended universal interval. If the customer needs a procurement meeting before deciding, a later agreed check may be more appropriate. The Danish cleaning example uses Europe/Copenhagen and its own customer agreement rather than copying the English timing without review. Procora's scheduling code handles the configured timezone and weekday window, but a national public-holiday calendar is not established. Check holiday closures and customer-specific working hours during setup.

Limits apply to a person as well as an offer

Agree the maximum number of attempts, the daily workload and how contact across quotations is coordinated. Two open offers for one recipient should not produce two messages at the same moment. Quiet hours and timezone are part of the contact plan, not merely display preferences. A deferred step must be checked again when its window arrives; it does not retain permission indefinitely. The public draft pilot does not consume a live sending allowance. Before any separately approved controlled sending, sender identity, replies, contact evidence, shared frequency limits and provider costs must be ready. SMS, WhatsApp and calls are not included by describing them in a sequence diagram.

A reply interrupts the routine

A question about access, changed quantities or price should stop the ordinary follow-up path and create an owner decision. An out-of-office response needs a person to consider timing; it is not a reason to keep sending during the absence. An apparent acceptance needs source confirmation before the business outcome changes. Declined, expired, withdrawn and superseded quotations leave the routine. Opt-outs and explicit stop requests prevent further unsuitable contact. If the customer asks to return in November, record the owner's decision and new context instead of treating silence as permission to resume the original schedule. A fresh check and review are needed before any new action.

Review what changed, not only what was prepared

During a weekly review, count eligible quotations, drafts prepared, drafts waiting for decisions, replies requiring attention and routines stopped for a documented reason. A draft is not a sent message, and a test capture is not delivery. Check whether the wording produced useful clarification or repeatedly asked customers who were already dealing with the owner. Keep the example schedule stable long enough to understand the process, then adjust one clear assumption at a time. Discuss this service if the main difficulty is inconsistent responsibility or missing stop conditions. A more elaborate sequence cannot repair a list whose quotation versions and owner decisions are unreliable.

Questions worth answering

Are the two, five and ten day intervals fixed?

No. They demonstrate a configurable business-day schedule. Agree timing with the owner and customer context; check expiry, closures and procurement needs instead of copying the example automatically.

Does this pilot send the sequence?

No. The public pilot prepares drafts for review. Customer sending needs separate readiness, verified source and reply controls, and an explicit agreement; this website does not enable it.

What if the customer replies between planned steps?

The routine should stop for an owner decision. Keep the reply and current quote together, cancel unsuitable future work and decide whether a factual response, revision, closure or later check is appropriate.
