The work, in practice

A segment should answer a useful business question, such as which customers may have a relevant next service need. It should also explain why another customer does not belong. Procora's proposed segmentation work remains planned; the public audience example uses fictional records and authorises no contact.

Start with one decision, not every available field

Canal Cycle in the Belgian example considers customers with a particular completed workshop service. The owner's question is whether a relevant later interaction is worth preparing, not which customers can be labelled most valuable by an unexplained score. A useful segment names the service, business location, selected period and the action it would inform.

Only collect fields needed for that decision. A service date, customer reference and current booking status may be useful; an inferred personal characteristic may be irrelevant or inappropriate. Define the purpose before choosing data, and avoid making participation depend on opaque assumptions about the person.

Keep history, preferences and market separate

Purchase and service history describe what happened. A language preference helps choose readable wording. A location identifies the relevant branch or service area. Country and channel information support the appropriate contact assessment. These fields should not silently replace one another: English text does not make someone a Belgian customer, and an email address does not prove promotional eligibility.

Record the source and update time of important fields. If the Spanish appointment example has a confirmed visit, that event belongs to its actual booking source rather than a guessed date calculated from a newsletter click. Unknown values need a visible handling rule. Do not place an unknown customer into a broad default segment merely to make the audience larger.

Resolve duplicates and uncertain identity

Begin with a known count of unique fictional contacts in the example. In actual future preparation, duplicate rows, shared email addresses and changed contact details need review before counts describe people. Automatically merging records on a name can attach another customer's service history or stop preference to the wrong person.

The proposed workflow would preserve the source references and the reason for a merge or exclusion. A uncertain identity should block the specific contact while an owner checks it. Correcting data should not remove evidence of a previous opt-out. Imports need explicit field mappings and a source-quality review; this page does not upload lists or connect any customer database.

Write inclusion rules as a testable statement

A useful example rule says that the customer has the specified completed service, is within the chosen location and review period, and has no unresolved source conflict. If all conditions are required, explain that clearly. If either of two services can qualify, state that alternative separately. Ambiguous rules make it hard to tell whether a changed record should remain included.

The owner should preview a small sample and compare each row with its history. Include examples that qualify and similar examples that do not. A record missing the service date cannot be treated as a recent completion. Commercial relevance is one decision; permission and current suppressions remain independent gates even when the inclusion rule matches perfectly.

Apply exclusions in a defined order

The teaching audience starts with 100 contacts. Exclude 30 lacking required evidence, then ten suppressed contacts from the remaining 70, then five already appropriately booked from the remaining 60. This leaves 55. Each exclusion count concerns the contacts still being considered, so a person is not counted twice. All figures are fictional and the result is a planning state.

Keep a reason alongside the count. Missing evidence, a stop request and an existing appointment call for different responses. When a new booking or opt-out appears, review the pending group again. Do not freeze the audience at selection time and assume it remains correct for every later step. A future scope needs a reliable event or fresh source check to make those updates operational.

Give the owner a readable audience preview

A useful preview shows the purpose, selected period, source freshness, included contacts and separate exclusions. It should be possible to explain why a representative customer is present without exposing unrelated private records. The owner also needs to see the total available capacity and which other proposed jobs could contact the same people.

Approve the exact rule and its material assumptions. Expanding to another country, adding a channel or including customers whose history changed requires fresh review. A template approval is not approval of every possible audience. In the example, changing a preference or recording an opt-out changes the next decision without performing a real send.

Keep audience quality in the results report

Report the starting unique-contact count, exclusions and eligible total before showing attempts or responses. If eligibility cannot be reconciled, a delivery rate will not explain whether the right people were considered. Keep a defined period and source version so later corrections can be understood rather than silently rewriting the original report.

A useful future test compares the rule against known cases and investigates unexpected inclusions. It does not assume a bigger segment is better. Small groups, changing services and incomplete histories limit conclusions about outcomes. Customer segmentation remains planned and unpriced as part of the repeat-business scope. The service enquiry asks for your process and systems, not an uploaded customer list or operational permission.

Questions worth answering

Is a relevant segment permission to send?

No. Commercial relevance, contact evidence, preferences, suppression and country/channel checks are separate decisions. A record can fit the service-history rule and still be excluded from a proposed message.

Can the example use my real contact list?

No. The public controls use fictional data and do not upload, query or modify customer records. A future source review would need an agreed scope and secure handling outside the demonstration.

Should missing information be filled automatically?

Not with invented history or inferred permission. Define which missing fields block the job, which need a person and how corrections are recorded. The reason for exclusion should remain explainable.
