The work, in practice

Use this planner to turn a broad idea such as bring customers back into a small piece of reviewable work. It helps separate the need, audience, permission and owner's decision. The examples are fictional, and Procora's marketing services remain planned. Completing the planner or its checklist does not approve sending.

1. Write the customer's useful next step

Start with a plain sentence describing what the customer could gain. For the fictional Belgian retailer Canal Cycle, that might be information about an appropriate workshop service after a recorded earlier job. Avoid beginning with send to everyone or increase revenue. Those instructions do not establish the customer's need or the work required.

Choose one job: expected repeat need, reactivation, neutral review or voluntary referral. If the purpose changes, use another plan. Record the relevant service, location and proposed period. A maintenance interval belongs to the business example and must not be presented as a universal technical requirement. The owner should be able to explain the reason without invented urgency.

2. List the minimum source information

Identify the record that supports the proposed reason: customer reference, completed service, completion date and current status. Then identify the booking, preference and stop sources that can remove that reason. Keep field ownership and update times visible. A lead pushed into a CRM does not prove that all later service history is available in the opposite direction.

Prepare a small sanitised example for review rather than uploading a private contact list. Describe what happens when a date is missing, identity is duplicated or two systems disagree. The Spanish appointment example also needs the business's actual timezone and confirmed service status. A language selection does not supply either of those facts.

3. Reconcile inclusion and exclusions

Write a testable inclusion rule, then apply exclusions in a defined order. The teaching example starts with 100 contacts. Thirty lack required evidence, ten of the remaining contacts are suppressed and five of those still remaining are already appropriately booked. The result is 55. These are non-overlapping sequential exclusions, not counts that can each be subtracted from a different starting population.

Keep a reason next to each excluded group and a representative record for checking. Missing evidence creates a review need; a stop must be respected; an existing booking avoids duplicate contact. Matching the commercial rule is not authorisation to send. Recheck changed sources and new preferences before any future proposed action.

4. Put the exact offer and wording in front of the owner

Write the proposed message, destination, channel, period and contact limit beside the audience rule. If there is an offer, use the actual approved service, amount or benefit, conditions and expiry. Do not invent a discount to make the plan look complete. Preserve the source currency and tax presentation instead of changing commercial terms with the page language.

Name the decision-maker and the person who will handle replies. Approval needs a defined scope; it should not expand to a new country, a different offer or another channel without review. The planned Procora service remains unpriced and unavailable for self-service activation. A completed planning document is not a service purchase or provider instruction.

5. Write the stop and exception routes

Decide what happens when a customer replies, books, purchases, opts out or asks a person to take over. The proposed next step should change with the event. A new opt-out cancels future promotional work without rewriting past delivery events or erasing an appointment. A complaint needs a responsible owner and should not become a sales-pressure or rating-management task.

Check existing campaigns and appointment systems for duplicate contact. Agree the common limit and which job has priority. Source outages, an unavailable offer and uncertain identity should produce a visible pause or blocked state. A pause needs an owner and review date; it must not silently restart when a timer expires.

6. Choose a result you can actually observe

Record the period and denominator before a future test. In the separate fictional result, 55 attempted messages become 52 delivered and three bounced. Eight people reply, four book and one opts out. Replies, bookings and opt-outs can overlap and must not be added as thirteen unique people. None of these sample events is a real send or customer outcome.

A booking is not a completed service or additional revenue. If attribution is assessed later, explain the method and other influences. Small samples may support useful questions without a confident winner between message variants. Include source errors, stops honoured and owner workload in the review, rather than looking only for a favourable percentage.

7. Use the brief to scope the next decision

The brief below brings the job and its boundaries together. Replace placeholders only with verified facts and keep unresolved items visible. Ask whether the business has the capacity to answer the expected questions. A truthful simple invitation and a reliable person may be more useful than a complicated sequence with unclear ownership.

Questions worth answering

Does completing the checklist authorise contact?

No. It is local planning material for review. Applicable evidence, operational prerequisites and owner agreement remain separate. Procora's planned marketing service is not activated by a tick or download.

What is the smallest useful starting scope?

One clear need, one reviewable audience rule and the important exceptions. A manageable history sample and named reply owner can expose gaps before a larger journey is considered.
