The work, in practice

A review describes a real customer’s experience. A referral lets someone voluntarily introduce a business to another person. They are different tasks with different controls. This guide provides local planning material for fictional businesses; Procora’s Reviews & Referrals service is planned. The templates do not publish reviews, collect friends’ details or contact anyone.

Use a completed, genuine experience as the starting point

Canal Cycle considers a neutral review invitation after a recorded completed workshop job. Costa Agenda considers it after an appointment actually took place. An enquiry, cancellation or imported contact is not automatically that experience. The owner checks who received the service, whether the record is current and whether a previous invitation already covered it.

Make the scope fair and explainable. Invite an appropriate group of real customers without selecting only those expected to praise the business. A recent difficulty deserves a responsible response, but it is not a reason to manipulate the public picture. Decide the review policy before looking at individual satisfaction scores.

Write a neutral review request

Ask for an honest account rather than a positive rating. Use one verified destination and avoid rating suggestions, scripted praise or pressure to publish. The example below makes participation optional and allows a customer to describe what actually happened. Check the platform’s applicable rules as part of reviewing the final request.

Keep the request distinct from a promotion. In Denmark, a neutral request without marketing content is assessed differently from a sales message under the Consumer Ombudsman’s guidance. That does not establish a universal exemption in every country or for every text. Adding an offer changes the purpose and calls for a new assessment of the channel and wording.

Do not use satisfaction to control access to a review

Avoid a path that asks for a private score, sends happy customers to public reviews and directs everyone else somewhere hidden. It makes the public invitation conditional on likely praise. A business can ask for private feedback, but it should explain that purpose and avoid using the answer to filter access to a public review destination.

The same principle applies to rewards and suggested wording. Do not promise an incentive for a favourable rating, create a review on the customer’s behalf or supply fictional testimonials. A useful review process helps customers describe their own experience. It does not try to make the visible result look more positive than the underlying service.

Give problems a responsible human route

A complaint may need investigation, repair or a conversation with the owner. Provide an accessible contact route and a clear handoff using the necessary context. Do not make public praise a condition of help, or ask the customer to remove criticism before the business will respond. The owner remains responsible for resolving the actual issue.

A pause can protect a customer from repeated requests while a conversation is active. Record its reason and scope without converting it into a permanent positive-only review filter. A preference against further invitations should stop the relevant future contact. Keep the complaint response separate from promotion and referral activity.

Let the customer choose whether to share a link

A voluntary referral pattern gives the existing customer a business link they may choose to share. The recipient decides whether to visit or contact the business. Procora should not ask for a friend’s email or phone number and then treat the introduction as permission to contact that person. The proposed pattern avoids that transfer of private details.

Keep sharing optional and free of pressure. An incentivised refer-a-friend programme introduces different questions about purpose, terms and recipient contact; it is outside this guide’s simple pattern. Do not add an unverified reward to the template. The customer can decline, ignore it or share through their own choice without creating a new Procora message task.

Review a short policy before any later operation

Write down the experience rule, destination, timing, owner, contact limits and stop events. Review the country, channel and actual purpose separately for a review invitation and a referral invitation. Existing contact records and marketing preferences are useful evidence, but the exact message still matters. A single checkbox cannot decide every possible task.

Check duplicates and other systems already asking for feedback. Repeated invitations from a booking tool and a separate campaign can make an optional request feel compulsory. Agree which system and owner control the task. The policy and checklist below are local material; completing them does not enable Procora’s planned service or create a provider connection.

Measure participation without turning it into proof of praise

Distinguish invitations considered, delivered invitations, customer visits where observable, and reviews actually published by the relevant platform. A delivery is not a review. A review may appear without a tracked link, and a referral visit is not a booking. Explain the observation window and limitations instead of inventing complete attribution.

Look for useful service lessons, unwanted repetition and complaints about the request itself. Do not present the fictional examples as customer endorsements or marketing results. The owner’s next decision may be to simplify the request or improve the service. Neither a copied template nor a favourable rating proves that an automated review service is operating.

Questions worth answering

Can a referral introduce a friend’s contact details?

This proposed pattern does not collect them. It lets the customer share a business link voluntarily, leaving the other person to decide whether to engage. Different referral programmes require separate review.

Does a neutral review request always need promotional consent?

Do not assume a universal rule. Denmark’s guidance distinguishes a neutral request without marketing from promotion. Assess the country, channel and actual content; an offer or incentive can change that assessment.
