Formula: current minutes minus remaining manual work minus review. Capacity value is hours × hourly cost. Wage costs do not automatically decrease. The model does not measure revenue, savings or an actual automation rate.

Start with an actual sample

Count eligible enquiries over a known period. Measure reading, finding information, writing and handing over. Do not include spam or unrelated work without stating that choice. Use the same definition before and after a trial.

An average can hide difficult cases. Separate practical questions from professional assessments. Only the share that can be handled using approved information belongs in an automation scenario.

Include the work that remains

Eligible enquiries can still need reading, correction and human takeover. Enter review time per eligible enquiry. Other enquiries keep their full manual time in the calculation. If review takes longer than the previous process, the capacity effect is negative.

Separate capacity from money

Use your actual labour cost and a written software/setup quote. Spread one-off work over an explicit period. Include source review and support in the time or cost assumptions. Use the same currency and tax basis for every amount.

Freed hours do not automatically reduce wages. The calculator shows modelled capacity value, not documented cash savings or additional revenue. New subscriptions and tasks must be assessed on their own terms.

Low, base and high scenarios

Edit both the share and review time for all three scenarios. The high scenario is not an expected result. Use the low scenario to test whether the project remains useful with more review or fewer eligible tasks. Download the worksheet with every input before deciding.
